The Executive Business Partner will partner with the VP and/or Sr Director to effectively manage the business unit cadence and provide high level administrative and tactical support to our leaders. This role is essential to enabling the VP and their senior LT to scale up by managing day to day & mid-term activities and creating the space for them to work on long term strategy. This role will be fully responsible for ensuring the VP and/or Sr Director office is aware of deliverables and their timelines and communication is cascaded up & down as needed.
This position requires strategic thinking and business acumen as well as the ability to develop processes to facilitate short and long term planning and execution. Building and maintaining strong stakeholder relationships, both internal and external, are a key aspect of this role. Must be skilled in cross-group collaboration at all levels with excellent communication skills and comfortable operating in a fast-paced environment.
Key Responsibilities: Executive Partnering - Act as a trusted advisor on individual and team dynamics. Partner directly with (S)VP and/or Sr Director to prioritize their activities based on business priorities. Create, maintain & influence relationships with both internal and external stakeholders to support business activities. Full ownership of (S)VP's calendar with clear alignment on business priorities, interdependencies, and needs of the (S)VP and the business.
In partnership with PMOs, FP&A, Internal Communications, and other relevant stakeholders, create the BU cadence, own the agenda, and plan forecasts on behalf of (S)VP. Partner with PMO/Strategy Delivery team to continuously improve design and governance of BU Leadership Team cadence. Coordinate and actively facilitate BU LT Meetings; own action items and follow-ups. Partner with the Strategy Director of the BU to agree on approaches for improvements regarding accountability, ownership, and general delivery/follow-up of BU priorities.
Organize inbox, reply to emails, and pick up tasks directly from email. Speak the same language as (S)VP/Sr Director to prepare and/or send emails on their behalf to internal and external stakeholders. Manage, own & initiate the onboarding process on behalf of (S)VPs. Prepare all onboarding documentation and schedules while overseeing all technical and operational aspects of onboarding. Fully responsible for all tasks designed for delegation (Workday, Concur, Ivalua, etc.), as well as raising POs / adding vendors & following up as needed.
Be aware of and adhere to budget policies. Oversee the planning of business travel needs for (S)VP & teams (e.g., logistics and visas, coordinating itineraries across multiple stakeholders, and gathering/developing/collating preparation materials for meetings/presentations). Support with the hiring process by conducting interviews for the craft. Facilitate process for signatures for (S)VP. Project Management & Communications - Identify areas of improvement within the business and work with PMs to project manage the change.
Upon request of the (S)VP and/or Sr Director, review and advise on language, communication channel, and overall content of outgoing communications. Assist in end-to-end planning of leadership meetings and events, including offsites, all-hands, Q&As, and working sessions. Partner with IC in planning, organizing, and executing communication initiatives. Facilitate a strong connection between IC and the respective leader/department to surface short-term and long-term communication opportunities.
Act as your leader's eyes and ears, identifying areas of concern or key opportunities to utilize internal comms. Collaborate with the IC team in the planning and execution of global initiatives, including scheduling, identifying/inviting attendees, logistical planning, and on-the-day support.
